MTD is seeking candidates for Illinois Terminal Office Supervisor. The Illinois Terminal Office Supervisor performs a variety of routine and complex clerical and administrative work to oversee the Customer Service Center at MTD’s Illinois Terminal as well as manage the events and meeting center, CityView. This includes answering incoming calls, maintaining records, office procedures, giving tours, maintaining relationships with clients and vendors, and administrative support. This position assigns work and supervises the Information Assistants. The work hours for this position are Monday - Friday from 9AM - 6PM.

Education Requirements

An associate degree or equivalent work experience in an office or customer service-related setting is required. 

Experience Requirements

  • A minimum of two years of progressively responsible work experience, preferably in customer service, administrative support, or a related work setting is required.  
  • Prior experience in supervising and/or training employees is preferred. 
  • Must hold a valid State of Illinois Driver’s License. 

Responsibilities

  • Understanding of MTD’s transportation services including fixed-route, pass sales, balancing and reconciling sales, external and internal phone and mail correspondence, and communicating regularly with the Office Supervisors at Administration & Operations, CityView customers, external and internal customers, and Illinois Terminal tenants. 
  • Support administration of Half Fare Cab and DASH Card programs by phone and mail correspondence, filing records, and providing general support and education in coordination with the Office Supervisors and Special Services Manager. 
  • Serves customers and visitors in person and by telephone; answers or directs inquiries; maintains confidence of customers, staff, and employees by keeping sensitive information confidential. 
  • Acts as custodian of departmental documents and records including accurate financial records for pass sales, DASH Cards, CityView contracts, establishes and maintains filing systems, and indexes various records.  
  • Supports the Marketing Manager with CityView advertising and promotional endeavors. 
  • Coordinates and assigns CityView related tasks to Maintenance, Security, and Information Assistant personnel, as necessary. 
  • Coordinates with CityView caterer(s) to ensure the accurate and timely transfer of related information and monitors event activity to uphold high standards of service and professionalism.

  • Work shifts vary from day to night, as needed. MTD operates seven days a week, including weekends and holidays, and this position may require some work outside of traditional business hours.

Work Environment

The work environment involves exposure to conditions generally found in two different office settings. One setting is a close, limited space in a shared workspace and the other is a separate workspace. The noise level is quiet to moderate. There are frequent interruptions to this position’s workflow with moderate foot traffic. There is an expectation to hold and attend meetings on a regular basis.

Physical Demands

The exertion level required for this position is considered medium work. Physical requirements include stooping, bending, standing, squatting/crouching, pushing/pulling, and reaching above shoulders. While performing the duties of this job, employees are often required to sit, with regular periods of walking and standing; ability to climb and descend flights of stairs; talk or hear, both in person and by telephone; use hands repetitively to finger, handle, feel or operate standard office equipment; reach with hands and arms; use vision to read printed materials and a computer screen; and exert up to 50 lbs. of force occasionally or a up to 20 lbs. of force frequently to lift, carry, push, pull, or otherwise move objects.

Starting Salary: $53,000 - $60,000/based on experience
